Remote Estate Cleanout Checklist for Out-of-State Executors
Managing a Florida home from another state is easier when the local work and the approval decisions are clearly separated. Use this checklist to set expectations before anyone starts.
Before the first visit
Confirm who can authorize physical work, how the property will be accessed, and who should receive updates. Ask the estate's attorney about any legal or probate questions. Gather keys, alarm information, building rules, and the dates that matter.
- Authorized contact and backup contact
- Access, parking, gate, elevator, or HOA instructions
- Important deadlines and realtor or property-manager contacts
- A private method for sharing approved photos or notes
Set an approval boundary
Write down what can be donated, hauled, packed, or discarded without another call and what must be reviewed. Documents, valuables, personal records, family photographs, and disputed items should always be set aside.
A local organizer should pause when the instructions do not cover an item. Remote coordination works best when no one has to guess.
Agree on the update rhythm
Choose whether you want a written summary after each visit, agreed photos, a video walkthrough, or a scheduled call. Updates should show progress and open decisions without exposing the family's private information beyond the approved recipients.
Coordinate the physical vendors
